WorkApp is provided by Penkra LLC, a Wyoming limited liability company, 667 N 13th St, Apt 2, Laramie, WY 82072, USA (“Penkra”, “we”). This policy explains what we collect in the WorkApp apps and on this website, why, who we share it with, and your choices.
Who controls your data
Records an organisation keeps in WorkApp belong to that organisation. For those records the organisation decides what is collected and who can see it, and we process them on its behalf. For your account, sign-in and billing, Penkra is responsible.
What we collect
- Account: phone number or email, name and photo if you add them, and sign-in details from Apple or Google if you use them.
- Sign-in and security: one-time codes and session tokens (stored only in hashed form) and the IP address of sign-in requests.
- Organisations and roles: the organisations you belong to, your role, and invitations you send or receive.
- Messages and files: what you send in chats, including attachments, replies, edits and read status.
- Records: the information your organisation records through WorkApp, with who recorded it and when.
- Assistant: your conversations with the assistant and the work it does for you.
- Devices: a device identifier and push notification token.
- Payments: amounts, currency, payment references and the payer's email or phone. Card and mobile-money details are handled by the payment provider, not stored by us.
- Service logs: request identifiers, timings and errors, used to keep the service running. They do not contain message content.
- This website: no account or sign-up. If you book a call, the booking service receives what you enter.
How we use it
To run WorkApp: sign you in, deliver messages and notifications, store your organisation's records, let the assistant do the work you ask for, process payments, keep the service secure and fix problems. We do not sell personal data and do not use it for advertising.
The assistant
When you use the assistant, the parts of the conversation and records it needs for your request are sent to our AI model provider to produce a reply. The assistant only sees what your role allows.
Who we share it with
We share data only with providers that help us run WorkApp:
- Hosting and storage: Hetzner and Amazon Web Services.
- AI model: OpenCode Go.
- Sign-in: Apple and Google, if you choose them.
- Text messages: Hubtel and Twilio. Email: Amazon SES.
- Push notifications: Google Firebase Cloud Messaging and Apple Push Notification service.
- Payments: Stripe and Hubtel.
- Call booking on this website: Cal.com.
We may also disclose data when the law requires it. Some providers process data outside your country, including in the United States.
How long we keep it
We keep data while your account or organisation is active. When you delete your account, we delete your personal data within 30 days. When an organisation is deleted, we delete its records, files and conversations within 30 days. We keep payment records for as long as tax and accounting law requires.
Your choices
- You can see and edit your profile in the app.
- You can delete your account in the app at any time.
- You can ask us for a copy of your data, or to correct or delete it, by emailing us. For records your organisation keeps, we will pass your request to that organisation.
Security
Data is encrypted in transit. Codes and session tokens are stored hashed, and sign-in details on your phone are kept in the device's secure storage.
Age
WorkApp is for people aged 18 and over.
Changes
We will post changes here and update the date above. For significant changes we will tell you in the app.
